Production Coordinator

Title: Production Coordinator

Reports to:   Executive Director, Event Chair
Start date: April 19, 2010
Duration: 9 months – 37.5 hours weekly, with some evenings and weekends (time off in lieu of overtime worked) 9AM – 5PM
Industry Standard Pay:  $447 per week

The Production Coordinator (EC) will provide support for the conference share of the Halifax Pop Explosion.  Under the supervision and direction of the Executive Director, the PC will work independently, and will liaise with the Executive Director, event Chair, committee members and stakeholders to deliver the project.  This person’s main focus will be the delivery of high quality educational programming, registration and artist relations.

Primary duties:

  • Assist in the coordination of seminars, workshops and all other educational programming
  • Contribute to the preparation of promotional materials, such as copy for program guide
  • Participate in registration campaigns and implementation
  • Maintain accurate registration, contact and transportation databases
  • Monitor on-line registration
  • Prepare registration reports as requested
  • Update website with conference related information
  • Coordinate and prepare daily itineraries for special guests
  • Prepare registration packages for participants, especially special guests
  • Set-up and operate the registration desk on site
  • Deliver payments to special guests
  • Conduct and data enter evaluations from conference participants

Additional duties:

  • Participate in all project committee meetings
  • Adhere to the project’s critical path and update it weekly
  • As requested, attend project activities and respond to any conference inquiries on site during the events
  • Provide assistance in the distribution of Halifax Pop Explosion promotional materials prior to and on site
  • Assist in the project’s final report
  • Instruct volunteers for any conference related activities
  • Attend all professional development educational workshops the Halifax Pop Explosion takes part in during employment period.

Activity schedule

During these months there will be various committee and staff meetings to which the PA is expected to attend.

  • Prepare submissions for jury meetings

  • Communicate registration needs, including delegate pass information, to the Production Coordinator
  • Deliver payments to artists/groups
  • Assist with venue management for both for all performances
  • Conduct and data enter evaluations from artists/groups

Jonny Stevens named Executive Director of The Halifax Pop Explosion

Jonny Stevens has been named the new executive director of the Halifax Pop Explosion (HPX). Now in its 18th year, the five day music, culture, and media festival and conference is one of Canada’s most renowned.

First presented in 1993, HPX has become an annual fixture on the local, national and international music industry calendar. Heralded as “one of the best, most well-programmed Canadian musical festivals going” by The National Post, HPX has presented performances by such renowned acts as Arcade Fire, Cat Power, Eric’s Trip, Sloan, GZA, and Japandroids.

Jonny Stevens has spent the past three years as the education and events coordinator with Music Nova Scotia. A self proclaimed music nerd, he has sailed around the world on a tall ship, toured throughout North America in a van with his band, and released five albums. Stevens is also an instructor at the Nova Scotia Community College Music Business program.

“I am very excited to start this new challenge with the Halifax Pop Explosion Association,” says Stevens. “I’m proud to be a part of HPX’s 18 year history and can’t wait to work with everyone.”

Stepping down after 10 years as HPX’s executive director and 14 years with the event, Waye Mason is enthusiastic about Stevens’ future with the festival.

“Jonny Stevens has participated in the festival as an artist, volunteer, partner and board member over the last decade,” claims Mason. “I have absolute confidence that Jonny will bring the energy and vision that HPX requires to continue to grow. I am leaving the festival in the best of hands.”

Information on early bird passes and initial performers for the 2010 Halifax Pop Explosion will be announced in the coming weeks.

Executive Director, Halifax Pop Explosion Association

The Executive Director is responsible to ensure the effective operation of the Halifax Pop Explosion Association in its pursuit of its vision and mission.  The Association exists to present our annual festival, and any other projects or events that may from time to time be staged.  The Executive Director is therefore responsible for resource development, financial management, sponsorship and government investment acquisition, promotion, and relationships between volunteers and staff. Specific areas of responsibility include:

1. The Board of Directors

  • Reports to Board of Directors, implements all policies established by the Board, recommends policy to the Board of Directors.
  • Has direct responsibility to Board for overall integrity of the organization.
  • Encourages & Supports the Board of Directors to conduct long-term strategic planning for the organization and participates fully in that process.
  • Develops the Business Plan with staff input and Board approval, and assists the Board in staging periodic strategic planning sessions to revise the Strategic Plan.
  • Keeps Board regularly informed of Festival progress toward goals and in general.

2. Operations

  • Develops the multi-year Business Plan with staff input and Board approval, and assists the Board in staging.
  • Creates the budget, after consulting with the Talent Director and appropriate staff.
  • Recommends final budget to the Finance/Audit Committee of the Board of Directors.
  • Works closely with Treasurer and staff to ensure that financial procedures are developed and carried out correctly under policies established by the Board, that the budget is monitored and that there is adequate cash flow.
  • Creates an overall yearly “Operational Plan” for the Festival that includes timelines and responsibility assignments for each major activity; ensures timelines are adhered to as closely as possible.
  • In conjunction with marketing staff, plans overall marketing effort and ensures its timely execution.
  • Oversees Talent Director regarding contracting procedures for Festival artists, production staff, etc.

3. Staff, Volunteers and Stakeholders

  • Oversees full time and grant staff, contracted coordinator, volunteers.
  • Hires/fires/periodically evaluates staff, both employees and contract workers.
  • In support of the Board’s Human Resource Committee, ensures that personnel procedures are developed, including evaluation procedures.
  • Develops and revises job descriptions for all staff and volunteers.
  • Continually recruits new volunteers, encourages local committees to recruit others, and encourages a spirit of cooperation, enthusiasm, and a vision for the future.
  • Works to involve related artistic organizations, performers, creators and businesses in the Festival.
  • Ensures that staff and volunteers receive training necessary to carry out duties.

4. Sponsorship & Government

  • Serves as chief development officer and ensures that all fund raising to businesses and individuals is completed effectively and coordinated to avoid double asks and maximize effectiveness.
  • Serves as grant writer and ensures that appropriate grant applications are made to Federal, Provincial and Municipal agencies and private foundations in timely manner and that subsequent reports are prepared and submitted accordingly.
